Transforming a Basic Document Upload into a Smart Contract Renewal Management System
CLIENT CHALLENGE
The existing Contract module provided only a basic document upload capability. Uploaded files were stored, but the system offered no way to manage or track contract data.
Problems with the Existing System

We rebuilt the module so it follows a contract from the day it’s uploaded all the way to renewal, instead of stopping at ‘file saved.’
Instead of just storing a file, it now reads the actual contract data out of it, keeps the renewal follow-up moving on its own, and gives reps and managers a live view of where every deal stands.

AI-Powered Data Extraction
A rep uploads the contract file and gives it a title. The system reads the document, pulls out the key fields, and hands them back for a quick human check before anything is saved.
- Automatically reads uploaded contracts, whether they’re clean digital files or scanned/photographed copies
- Extracts 13 fields per contract: start date, term, maturity date, equipment type, make and model, deal amount, monthly payment, residual, lender, assigned rep, and dealer source
- Detects which kind of document it’s looking at: if the file has more than a couple hundred characters of real text it’s read directly; if it’s mostly a scanned image, the system switches to reading the page visually instead
- Reduces manual data entry from a full re-type to a quick review
- Improves accuracy with built-in checks: the maturity date is cross-checked against the start date and term, and a date on or before today is rejected outright
- Nothing saves without user validation — the rep reviews and confirms every field first
The AI Behind It
- Document reading is handled by Groq, an AI infrastructure provider — Trident’s own servers only manage the upload, review, and save steps around it
- Ordinary digital contract text is read by OpenAI’s GPT-OSS 120B
- Scanned or photographed pages are read by Qwen 3.6 27B instead, since reading a picture of a page isn’t the same job as reading text
- If Groq is briefly slow or overloaded, the system automatically retries once before showing the rep anything, so a momentary hiccup doesn’t turn into an error
